Terms of Service and Cancellation – Aava Outdoors

These terms apply to all trips, hikes, canoeing tours, yoga events, and other nature-related or otherwise organized activities by Aava Outdoors (Business ID: 1870692-5). Services are offered both in Finland and abroad and are primarily sold through our website. By booking a service, the customer agrees to these terms.

1. Booking and Payment

Services are booked via Aava Outdoors' website. The booking becomes binding once the customer has received a booking confirmation.

The reservation fee is to be paid after the booking, once the invoice has been received, unless otherwise agreed.

The full service must be paid by the first day of the event, unless otherwise stated.

Aava Outdoors reserves the right to change prices and programs prior to booking confirmation.

2. Cancellation Policy

Private customers (Finland & EU):

Cancellations must be made in writing (e.g. by email or through the booking form).

  • Cancellation more than 30 days before the event: full refund minus a €25 handling fee, unless otherwise specified.

  • Cancellation 15–30 days before the event: 50% refund.

  • Cancellation less than 15 days before the event: no refund.

The customer has the right to transfer the booking to another person free of charge, provided the change is made no later than 48 hours before the event.

Corporate customers and groups (>5 people): specific terms are agreed upon in the offer.

3. Aava Outdoors' Right to Cancel or Modify the Program

We reserve the right to cancel the event if the minimum number of participants is not met (as stated in the program description), or if weather conditions make it unsafe to carry out.

In such cases, the customer will be offered a new date or an alternative activity. If the customer does not accept the change, a full refund will be issued.

Aava Outdoors is not responsible for any additional costs incurred by the customer (e.g. travel or accommodation), unless otherwise agreed.

4. Liability and Insurance

The customer participates in activities at their own risk. Aava Outdoors holds liability insurance, but customers must have their own accident and travel insurance.

Any relevant medical conditions (e.g. illnesses, allergies) must be reported in advance.

5. Customer Obligations

Customers must follow the safety and activity instructions given by the guides.

Aava Outdoors reserves the right to deny participation if a customer's behavior endangers themselves or others.

6. Data Protection

Customer data is handled confidentially and in accordance with the privacy policy.

Data is used solely for booking and customer relationship management.

7. Applicable Law and Dispute Resolution

These terms are governed by Finnish law.

Any disputes will primarily be resolved through negotiation. If no agreement is reached, disputes will be handled by the Helsinki District Court or the Finnish Consumer Disputes Board.

8. Force Majeure

Aava Outdoors is not liable for delays, changes, or cancellations caused by force majeure. Such circumstances include, but are not limited to:

  • sudden illness preventing service delivery

  • exceptional weather or natural disasters

  • strikes or transport disruptions

  • government restrictions or regulations (e.g. travel bans)

  • other unforeseen events beyond Aava Outdoors' control

In such cases, the customer will primarily be offered a replacement service or a new date. If this is not possible, a full refund will be provided. However, Aava Outdoors is not responsible for indirect costs (e.g. travel or accommodation), unless otherwise agreed.

Rental Terms for Outdoor Equipment (Finland) – Aava Outdoors

1. Making a Reservation

Equipment is reserved through the online store.
The reservation becomes valid once the customer has completed the payment or the required reservation fee, unless otherwise agreed.
By making a reservation, the renter agrees to these rental terms.

2. Pick-up and Return

Equipment is picked up from the company's location at the agreed time.
Equipment must be returned to the same location on the last rental day before closing time, unless otherwise agreed.
A late return fee may be charged according to the price list.

3. Delivery to Customer (Optional Service)

Equipment can be shipped to the customer's address by separate agreement.
The customer is responsible for delivery and return shipping costs unless otherwise agreed.
The rental period begins on the day the equipment has been sent and ends on the day received back.

4. Inspection of Equipment

The renter inspects the equipment upon pick-up and reports any defects or shortcomings immediately.
Upon return, the company will check the condition of the equipment.

5. Renter's Responsibility

The renter is responsible for the equipment for the entire rental period.
Equipment must be returned clean, dry, and in normal usable condition.

The renter is liable for:

  • lost equipment,

  • damaged equipment with reasonable repair costs, or the replacement value of equivalent new equipment if repair is not possible,

  • maintenance costs if the equipment is returned clearly dirty or wet.

Normal wear and tear is included in the rental and will not be charged.

6. Instructions for Use

The renter agrees to use the equipment only for its intended purpose.
The company is not responsible for damage or accidents resulting from improper use.

7. Cancellation Policy

The reservation may be cancelled free of charge up to 48 hours before the rental period begins.
For cancellations made less than 48 hours before the start, 50% of the rental fee may be charged unless otherwise agreed.
A reservation that is not picked up will be charged in full.

8. Payment Terms

The rental fee is paid in the online store at the time of reservation or upon receiving an invoice, unless otherwise agreed.
The company reserves the right to cancel the reservation if payment is not made within the agreed time.

9. Company's Responsibility

The company is responsible for the equipment's condition and safety at the start of the rental period.
The company is not responsible for the customer's personal belongings or for damages caused by misuse or negligence.

In the event of force majeure, the customer will be offered a replacement service or a new date. If this is not possible, Aava Outdoors will refund the price of the purchased service. The company is not responsible for indirect costs incurred by the customer (e.g., travel or accommodation costs), unless otherwise expressly agreed.

10. Governing Law

These terms are governed by Finnish law. Any disputes will primarily be resolved through negotiation.
